It is recommended that during the first few months of implementation provide two persons as a team to coordinate ERP deployment. So we need two ERP coordinators per location. If there are two locations, say Head office and a factory, assign total four people. This is a full time job and not ‘by the way' activity. ‘If I get time I will coordinate’ attitude is not at all good for the success of ERP. Roadmap or plan is prepared jointly with DNS implementer and ERP coordinator. He or she need not be an expert programmer. Only basic IT knowledge is necessary. This is more of a taskmaster job who knows how to manage a time-bound project. Knowledge of Microsoft Project Management software or similar tool is welcome, but not a must. IT Infrastructure We request you to please arrange the following:- Provide one High performance Processor Server with Minimum 4 GB RAM, minimum 320 GB HDD. (With CD or DVD writer for taking periodical backup). With at least ONE node (1 GB RAM) with Operating system WIN XP for your software Coordinator and our QC team to test EXE, prepare master data, give training etc. Other client sides PC (nodes) with WIN XP with at least 512 MB RAM. Our development team and implementation team will also use this during the initial phase. If temperature goes above 350 C, AC for server room is recommended. Later you will need to keep one extra server for disaster management – for Windows authentication for database for faster throughput. However, this may be planned depending on the data volume after about one year. You will arrange to deploy licensed software: Robust RDBMS (back-end) support for MS SQL Server Database, MS Windows Sever Operating System and MS Office. One PC with Internet connection for remote support from our Pune office. UPS for the Server and switch (hub) is required for at least two/three hours .Daily database back up on CDs is a must. You may add more PCs as the data entry work increases and as users start being trained over a period. The PC (nodes) may be networked using wired LAN or wireless LAN technology. To start our work all we need is two or three PCs on LAN with one Server computer. Anti-virus software with facility to update the signatures is required: (a) Sever version for the server computer (b) client version for each user PC. At least one LaserJet (or DeskJet) printer for hard copy printouts. You may add more printers as per requirements. This is a good time to phase out the Dot Matrix Printers. You will appoint ERP Coordinator exclusively, who shall be fully available during the Software testing, implementation and deployment activity. A dedicated Task Force, constituted of core group of Users from all functional areas also should be identified to whom training would be imparted. Time commitment towards Software project is essential, from all these individuals. There will be a ‘Chief-of-Project’ to monitor and review the progress during the software implementation. This is the ERP project ‘sponsor’. (Usually a very senior person, like owner, with necessary authority to take crucial decisions). Please appoint network administrator to support the IT infrastructure, such as Server, networking etc. He/she will also take care of anti-virus solutions, Firewall, Login and secret password etc. (May be same person as ERP project Coordinator). Provide Server with static IP address for out-locations to login. A good broadband connectivity at the server location will be required. Internet / Email connectivity, for all locations.
